Fleet mileage management for field-service teams

Start with the reporting question

Choose the period, vehicles, drivers, and decision the report should support. A monthly fleet review needs different evidence from a reimbursement log or a fuel-control check.

Keep tax, payroll, accounting, safety, and conduct decisions with qualified people. The report can organize evidence and propose exceptions; it cannot make those determinations.

• Set one reporting timezone and period boundary.
• Name the fleet, finance, and operations reviewers.
• Preserve each saved source export and its hash.

Map vehicles and drivers before calculating totals

Vehicle IDs, VINs, unit numbers, card assignments, and driver assignments rarely line up by themselves. Build an identity map and hold uncertain matches for review.

• Normalize distance and fuel units without discarding source values.
• Keep assignment windows and odometer timestamps.
• Do not infer a driver from a card or vehicle without evidence.

Report coverage, supported MPG, and exceptions separately

Coverage tells you how much mileage is classified and linked. Supported MPG needs full-to-full tank boundaries and valid odometers. Approximate period MPG can be useful for screening, but it must keep its evidence label.

• Show business, personal, commute, and unclassified mileage.
• Separate supported tank cycles from approximate period ratios.
• Route missing evidence, reversals, duplicates, and unmatched fuel.

Close the report with a human review log

Record what the reviewer accepted, corrected, deferred, or rejected. Keep the original evidence unchanged and carry unresolved items into the next report.

• Attach a source locator to every material row.
• Record the reviewer, decision date, and rationale.
• Do not present an unreviewed output as an audit conclusion.
